Terms & Conditions


  • Room bookings will be confirmed only upon full advance payment and will be allocated on a first-come, first-served basis, owing to the limited number of rooms available.
  • Upon check-in, guests are required to provide a valid credit card at the hotel reception to cover any additional charges, such as those incurred through the minibar, room service, laundry, telephone, or use of the business centre.
  • Guests must carry a valid government-issued photo ID, which is mandatory for check-in.
  • Airport transfers (pick-up and drop-off) are not included in the accommodation package.
  • Standard check-in time is 3:00 PM and check-out time is 12:00 PM.
  • Requests for early check-in or late check-out are subject to availability and cannot be guaranteed.
  • Interchanging rooms without prior approval from the organizers will not be permitted.
  • Delegates opting for twin-sharing accommodation may suggest the name of a preferred roommate at the time of booking.
  • For additional stays (either before or after the conference), delegates are requested to coordinate directly with the hotel.

Cancellation Policy :


All cancellation requests must be submitted via email on conferences@vamaevents.com | stereocon2026@gmail.com

  • Refunds for registration and accommodation fees will be processed as follows:
  • On or before 28th February 2026 – full refund (after deduction of handling charges & GST).
  • From 1st March 2026 until 30th April 2026 – 50% refund.
  • After 1st May 2026 – No refund will be issued.
  • In the case of a "No Show", no refund or conference certificate will be provided.
  • All refunds will be processed only after the conclusion of the conference.
  • Please note:

  • The GST paid during the registration cannot be refunded as it will be paid to the Government on a monthly basis. All receipts are auto generated and cannot be changed.
  • Indian delegates who choose Offline registration may complete payment by UPI, Bank transfer, Cheques or DD. Send completely filled form along with payment details to Conference Secretariat or email the scanned form to conferences@vamaevents.com | stereocon2026@gmail.com. Without the duly filled form, registration will not be considered confirmed.
